Scout, end to end

People. Groups. Serving. Giving. Check-in. The same record across all of them.

One record holds people, groups, serving, giving, and check-in. Scout reads across them and tells you what changed. Each domain below links to a deeper page.

People

Every person, the whole story.

Scout’s person profile is built from every signal in the system — giving, serving, groups, attendance, household, and pastoral notes. It’s one screen, where the profile lives and where pastoral care actually happens.

Households are part of the record, not a side table. Tags and pastoral notes catch what structured fields can’t. Members declare what they bring on their own profile, in their own words.

Groups

Where belonging happens.

Members browse and request to join groups in the member app. Leaders approve. Attendance gets marked. Leader feedback closes the loop nobody else captures — difficult, fine, good, great, plus a sentence if they have one.

Group attendance feeds into what Scout is noticing about each person. Drift in a faithful group member shows up on the morning briefing.

Serving & schedules

Sunday, ranked before you start scheduling.

Capacity match, reliability, and fairness already weighed into ranked suggestions per slot. When a slot empties, the bullpen suggests warm recruits from members who said they’re open. Invites land in the member app; confirmations come back to one place.

After serving, a sixty-second feedback prompt. Over weeks, you see which Sundays felt hard, who’s running on empty, and where a team needs a rest week.

Run of Show

A production document the whole team can hold.

Sections and element cards with dual time columns — clock time across every service plus a running show time. Change a song’s length; the rest of the run cascades. Generate a token link the production team can open without an account.

Volunteer assignments flow in from the team page. One source of truth, two screens.

Check-in

Every check-in becomes part of the picture.

Parents enter a phone number; their household appears; they pick which kids to check in. Each kid lands in an age-appropriate room. Security codes print automatically. Authorized pickup is verified at the door.

Every check-in is an attendance record on a person. The Sunday after a holiday, the briefing already shows who came back and who didn’t.

Member app · churchHQ

Every member, an app. Branded for your church.

churchHQ is the member-side of Scout — installable from a link, with your church’s logo and accent color on every screen. Members give, join groups, confirm serving slots, declare what they bring, and tell you how serving went.

Every interaction flows back into the pastoral picture your staff sees. That’s the part that makes the picture whole.

Intelligence

Scout reads across all of it, and tells you what changed.

Scout reads across giving, serving, attendance, groups, and life events, and surfaces what changed. What you do about it is up to you.

Pathways discovers how people move from first Sunday to first gift to first serving slot — not a curriculum someone designed, the path your data shows is already there.

Scout reads three things at once: what someone is doing, what they’ve told you they can carry, and where they are in the life of the church. A single-purpose tool only sees one of those. The picture comes from reading them together.
