Inviting your team
Send invites and choose roles for staff and volunteers.
Scout staff seats are unlimited on every plan. Invite anyone who needs access.
Send an invite
Go to Settings → Team and click Invite member. Enter their email and pick a role:
- Owner — the person who owns billing and can delete the church. Usually the lead pastor or the executive pastor. There's only one.
- Admin — full access except billing. Most senior staff.
- Pastor — people, groups, giving (view only), intelligence, pastoral notes.
- Staff — people (edit), groups, check-in. No giving, no intelligence.
- Volunteer — check-in kiosk and their own schedule. No directory access.
You can also create custom roles if those don't fit your team.
What happens next
Scout sends a magic-link email. They click it, set their name, and they're in. No password to remember.
If the link doesn't arrive, check spam, then tell them to head to Sign in and request a new link from the same email address. Magic links expire after 24 hours.
Removing someone
When someone leaves your staff, go to Settings → Team, click their name, and remove them. Their pastoral notes and audit trail stay with the church. They lose access immediately.
