Switching plans

Move between bands, and switch between monthly and annual.

Scout has three self-serve plans, priced by the number of people you gather each week:

  • Under 250: $69/month, or $690/year
  • 250 to 750: $99/month, or $990/year
  • 750 to 2,000: $199/month, or $1,990/year

The annual price is ten months' price for twelve months, so paying for the year covers two of them.

Above 2,000 a week, pricing is custom. Book a demo and we'll work out the price and the implementation together.

Who can change the plan

Only the church owner. Ownership is a flag on one account, normally whoever created the church, and it sits alongside whatever role that person holds. Everyone else doesn't see Billing on the Settings page at all, and anyone who opens /settings/billing directly gets a card headed Read-only access that names the owner to ask.

Ownership moves inside Scout: the current owner opens Settings → Users, clicks Edit on an Admin, and uses Transfer ownership. If the owner has left your church and can't do that, email support@scout.church. How roles work covers the rest of what ownership carries.

Move between bands

  1. Open the billing page

    Click Settings at the bottom of the sidebar, or in the More sheet on a phone. Then click Billing.

  2. Click Manage billing

    Scout hands you to the Stripe Customer Portal in the same tab. Stripe hosts it, so Scout never sees your card number.

  3. Change the plan there

    The portal is where you update the payment method, change the plan, or cancel. Those screens belong to Stripe and their wording is set in Stripe rather than in Scout, so the labels you see may not match this article word for word. Stripe shows you what the change costs before you confirm it.

  4. Come back to Scout

    Use the portal's return link. It lands you back on Settings → Billing, where Scout re-reads your subscription. The Plan row updates once Stripe reports the change.

Moving down a band

Moving down doesn't buy back time you have already paid for. From the Terms of Service, section 7.6: "We do not pro-rate refunds for unused portions of a billing term, mid-term downgrades, or unused features." Stripe shows the effect on your next invoice on the confirm screen, so read that screen before you finish.

Changing the billing interval isn't self-serve. Email support@scout.church and we'll switch you over.

When to switch

Nothing in Scout counts your people against your band, and Scout won't prompt you to upgrade as you grow. When you cross into the next band we'll reach out and move you onto the next plan together. Your data stays where it is and nothing resets. You're also welcome to move up yourself whenever your own numbers say it's time.

What stays the same

Every plan is the full product: people, groups, services, scheduling, check-in, giving, forms, and the intelligence layer. Staff, volunteers, and people in your directory are unlimited, and there are no per-user fees. The band sets what you pay for the size of your church. It gates no features.
