Caring for Your Team

Scout doesn’t just track data — it helps you care for people. Your dashboard surfaces who needs attention, who deserves recognition, and who’s new to your team. This guide covers the sections that help you respond.

At Risk Volunteers

This section flags volunteers who may need care. Scout watches for three patterns:

  • Inactive — Haven’t checked in recently
  • Difficult feedback — Shared that a serving experience was hard
  • Declining sentiment — Feedback trend is moving in the wrong direction

Think of this as your weekly pastoral to-do list — the people Scout thinks you should check in with.

Follow-Up Actions

Each at-risk volunteer has quick-action buttons so you can respond without leaving the dashboard:

  • Email — Send them a message directly
  • Log Contact — Record that you’ve reached out
  • View Profile — Open their full profile for more context
  • Snooze — Come back to this in 7, 14, or 30 days
  • Dismiss — No action needed

When you take an action, the item fades out. This keeps the list clean and ensures nothing falls through the cracks.

Worth Celebrating

Scout also highlights the good stuff. This section shows recent badge achievements — volunteers who hit milestones like their first check-in, six months of consistent serving, or a full year connected.

Use these to send a quick text, give a shout-out on Sunday, or just know who’s been faithfully showing up. You can click on any volunteer to view their full profile.

New & Onboarding

This section has two parts:

  • New Sign-ups — Volunteers who recently joined Scout. These are people to welcome and encourage to complete their profiles.
  • Pending Activation — Volunteers who have signed up but haven’t been assigned to a team yet or haven’t completed their profile setup. These need a nudge to finish getting started.

The Weekly Rhythm

Here’s how most churches use these sections:

  • Monday — Check the At Risk section and Feedback Inbox. Follow up with anyone who had a difficult experience. Read the Monday rollup email.
  • Midweek — Glance at Worth Celebrating and send a few encouraging texts. Check New & Onboarding and nudge anyone who hasn’t finished their profile.
  • Sunday — Watch check-ins come in through the Feedback Inbox in real time. Celebrate badge milestones from the stage if appropriate.
